Workflow trigger: Partner invitation status changed

The Partner invitation status changed trigger enables you to monitor changes in the partner invitation status easily. We will look at how to configure this trigger.

Configure Partner invitation status changed trigger

Follow these steps to create the Partner invitation status changed trigger:

  • Go to Manage, Workflows, click New Workflow, Name the workflow, and press Add
  • Open Choose trigger and choose the workflow to be triggered when Partner invitation status changed
  • Select the trigger option for the invitation status to either Pending or Sent, or Accepted
  • Click Confirm

Pending: the workflow will be triggered when you grant the Partner Team Member access to the Partner Portal and manually invite your partner.

Sent: the workflow will be triggered when the Partner Team Member invitation has been sent.

Accepted: the workflow will be triggered when the Partner Team Member invitation has been accepted.

The different statuses have unique triggers and actions that follow.

Ensure your partners activate their partner portal access

To ensure your partners activate their partner portal access, you can utilize the Partner invitation status changed trigger. Select Pending or Sent; the trigger can be used, for example, to send follow-up emails to new or invited partners who have yet to accept the invitation. You can add a “delay action” for five days before sending the follow-up email.

These follow-up emails are essential as they remind partners to accept invitations and activate their accounts as quickly as possible.

If you want to end the workflow when a Team member accepts their invitation, click on Choose end condition and select Partner team member accepted invitation.

Send a welcome email when the partner logs into the partner portal for the first time

You can use the Partner invitation status changed trigger to send new partner team members a welcome email when they log into the partner portal for the first time. Select for invitation status Accepted. Whenever a partner team member accepts the invitation by logging in for the first time on the partner portal, the status will change from Pending or Sent to Accepted.

Once the status changes to Accepted, the workflow will be triggered.
